I Used AI to Analyze 500 Form Submissions. Then I Built StaticForm's Export Feature.

I had 500 form submissions sitting in my dashboard. Customer feedback, feature requests, complaints, questions. All of it just… sitting there. I’d read maybe 50 of them. The rest? “I’ll get to them eventually.”

I just needed a way to actually understand it all.

The Manual Approach (That Failed)

My first attempt was old school. Export to a spreadsheet, read through everything, take notes. I made it through about 80 submissions before giving up. Not because I’m lazy. Because it was genuinely difficult to keep track of patterns. “Someone mentioned wanting Slack integration. Wait, did someone else mention that? Let me search… okay, three people mentioned Slack. What else did they mention? Let me read their submissions again…”

Enter AI

I’d been playing with GPT-4 for other projects. Mostly using it to write boring documentation. But it’s surprisingly good at analyzing text. So I tried something. This took me 5 minutes. It would have taken days to do manually. And it was more accurate because AI doesn’t get tired or lose focus.

Obviously you can get more sophisticated. But even this simple version was immediately useful.

What I Actually Learned

The AI analysis revealed things I’d missed completely: sixteen people mentioned webhook setup being confusing. I knew one person had trouble with it. Turns out it was a pattern. I rewrote the webhook documentation and the complaints stopped. Nine people wanted a test mode. This wasn’t on my roadmap at all. I added it. It’s now one of the most-loved features. Seven people couldn’t figure out how to export submissions. I thought the export button was obvious. It wasn’t. I made it bigger and added a tooltip. Problem solved.

None of this was rocket science. But I never would have spotted these patterns by manually reading submissions. My brain just doesn’t work that way.

Now you know immediately when someone’s frustrated or needs urgent help. You can respond quickly instead of letting it sit in the queue for days.

Sentiment Tracking Over Time

The coolest application has been tracking sentiment trends. Every week, I run the analysis on that week’s submissions. I get a sentiment score (1 to 10). I graph it over time.

When sentiment drops, something’s wrong. Maybe I shipped a buggy feature. Maybe documentation is unclear. Maybe response times are slowing down. I can see the problem before it becomes a bigger problem. Then I can fix it.

Last month, sentiment dropped from 8.2 to 6.7 over two weeks. I dug into the submissions. People were confused about my new pricing page. I redesigned it. Sentiment went back up. Without AI analysis, I never would have connected those dots.

The Practical Setup

If you’re dealing with really sensitive information, you can run local models instead. Llama 2 works well for this kind of analysis and runs on your own hardware.

What This Actually Means

Form submissions aren’t just contact requests. They’re customer research. Every submission is someone telling you what they want, what confuses them, what they love. But only if you actually read them. And if you have 500 submissions, you’re not going to read them.

AI makes it possible to understand all that feedback without spending days reading. It spots patterns you’d miss. It quantifies things that are hard to quantify.
